The ground rules for using the Studio SANSA client portal. Your project agreement continues to govern the work we do together.

These terms apply to the client portal at portal.studiosansa.com.au, provided by Studio SANSA, ABN 57 541 760 459 (we, us or our). They explain the basis on which the portal is made available to invited users. If you have questions, contact info@studiosansa.com.au before using it. These terms do not replace a signed proposal, statement of work or services agreement.
2. Accounts and access
Access is for invited users and the projects they are authorised to view. Use accurate account details, keep credentials secure and do not share access with unauthorised people. If you act for an organisation, make sure you have authority for the instructions and approvals you give. Tell us promptly if access should be removed or you suspect misuse.
3. Using the portal
Use the portal for legitimate project collaboration. Do not try to access another client’s information, bypass access controls, upload malicious software, disrupt the service, or share unlawful or infringing content. Respect the confidentiality and privacy of project participants. Keep your own copies of important records; the portal is a collaboration tool rather than a permanent archive.
4. Project scope and timing
Project scope, deliverables, fees, revisions, payment arrangements and cancellation rights are set out in your project agreement and any agreed changes. Portal dates and progress indicators are coordination information and may change as the project develops. If portal information conflicts with an agreed document, contact the studio; the agreed project terms take priority to the extent of the conflict.
5. Feedback and approvals
Review material carefully before submitting feedback or selecting an approval action. The portal records responses so that the studio can coordinate the next stage. An approval relates to the item presented and may allow work to proceed under your project agreement. It does not waive rights that cannot legally be waived. Tell us promptly about an accidental approval or an error. Changes requested after approval may affect scope, timing or fees, but any such changes must be agreed under the project agreement.
6. Files and intellectual property
You retain the rights you hold in material you supply. You give the studio permission to store, reproduce and share that material with authorised project participants and service providers as needed to perform the agreed work. Make sure you are entitled to provide it for that purpose.
Ownership and licensing of designs, working files, final deliverables, fonts, images and other third-party assets follow your project agreement and relevant licences. Viewing or downloading an item in the portal does not by itself transfer ownership or expand a licence. Do not publish or reuse another client’s confidential material.
7. Billing and external services
Billing summaries help you track the project; invoices and your agreement contain the applicable payment instructions and due dates. Contact the studio about discrepancies. The portal may link to Google Drive, Google Meet, Cal.com, WhatsApp or other services. Those services are operated by their providers and are subject to their own terms and privacy policies. Check the destination before supplying information or making a payment.
8. Privacy and confidentiality
Our Privacy policy explains how portal-related personal information is handled. Keep non-public project information confidential unless you have permission to share it or disclosure is required by law. Any confidentiality obligations in your project agreement continue to apply.
9. Availability and access changes
We may maintain, update or temporarily interrupt the portal. We may restrict access where reasonably necessary to address a security issue, misuse or the end of an authorised project relationship. Where practicable, we will explain the reason and help arrange access to records you are entitled to receive. Contact the studio if the portal is unavailable and you need to communicate something time-sensitive.
10. Your rights and resolving issues
Nothing in these terms excludes, restricts or modifies any rights, guarantees or remedies that cannot lawfully be excluded, including those under the Australian Consumer Law where it applies. These terms do not create a blanket exclusion of responsibility for the studio.
Please raise concerns at info@studiosansa.com.au, identifying the project and issue so we can work towards a resolution. Any dispute process in your project agreement applies, subject to your statutory rights.
11. Changes and contact
We may update these portal terms as the service develops. The update date appears at the top of this page, and we will provide reasonable notice of material changes affecting existing users. Updates do not retrospectively change agreed project fees, ownership or other signed project terms. For questions or help obtaining project records, email info@studiosansa.com.au.
